Free wedding spreadsheet
Google Sheets wedding planning template
Keep your guest list and vendor payments in one workbook. This free template has two tabs, Guests and Vendors, with editable rows, status dropdowns, and summary formulas to help you see what still needs attention.
Free to view. A Google account is needed to save your own copy. No Text My Wedding signup required.
What is in the template?
Tab 1
Guests
First name, Last name, Address, Phone, Email, Invited, Save the date, Invitation, RSVP, Table, Food Allergies, and Notes. Use Yes / No for Invited and RSVP, and Sent / Not sent for the two mailing-status columns.
The summary counts guests, completed contact fields, invitations, and Yes RSVPs, with percentages of the guest total. Table is a place to record a table assignment, rather than a visual seating chart.
Tab 2
Vendors
Vendor Name, Amount due, Amount paid, Next payment due, Phone, and Email. Record each vendor’s full cost, payments made so far, and the next payment date.
Formulas show the total vendor cost, total paid, balance left, and next future payment date. For an overall spending target and category allocations, use the wedding budget calculator.
What you will need to manage separately
This is a manual tracker. It does not send invitations, collect RSVP replies, text guests, or sync with a wedding website. There is no task checklist or planning calendar; pair it with our wedding planning timeline for the jobs to do before your date. If you are still deciding who to invite, the guest-list template and builder helps you organize households and priorities before filling this sheet.
A small example before you start
These fictional rows show a selection of the real columns. Leave contact fields blank while trying the template. On a phone, scroll each table sideways to see every column.
Guests tab — fictional example| First name | Last name | Invited | Invitation | RSVP | Table |
|---|
| Alex | Example | Yes | Sent | Yes | 3 |
Vendors tab — fictional example| Vendor Name | Amount due | Amount paid | Next payment due |
|---|
| Sample florist | 1,500 | 500 | June 1, 2027 |
In that vendor example, 1,000 remains unpaid. Set your preferred currency and date format in your copy of Google Sheets.
How to copy and use the spreadsheet
- Make your own copy. Use the copy button, sign in to Google if asked, then choose a name and save it to your Drive. You can also open the original template and choose File → Make a copy. Edit only your copy.
- Replace the existing example entries. Start with Alex Example in the Guests tab at row 14, and Sample florist in Vendors at row 7. Clear the other example entries in your copy, keeping the header rows, dropdowns, and summary formulas. Enter vendor amounts as numbers and payment dates as dates.
- Record replies yourself. Set Invited to Yes when someone is on your invitation list. Update Save the date and Invitation to Sent as you send each one. For RSVP, leave the cell blank until a reply arrives, then choose Yes or No. The summary’s RSVP count counts Yes responses only.
- Check formula ranges as your list grows. Guest summary formulas cover rows 14–261; vendor cost and paid totals cover rows 7–52. Extend those ranges if you use more rows. The next-payment formula checks dates in rows 7–1005 and looks strictly after today, so check today’s and overdue payments yourself.
Export your list or use it in Text My Wedding
In your copy, choose File → Download → Microsoft Excel (.xlsx) for the workbook, or select the Guests tab and download Comma-separated values (.csv) for that tab. CSV keeps values only; it does not preserve formatting, dropdowns, formulas, or the Vendors tab. Keep your Google Sheets copy as the master, especially for its Google-specific next-payment formula.
To prepare an import file, duplicate your Guests tab and remove rows 1–12 from that duplicate, so the column labels are in row 1. Remove any remaining example guests and export that tab as CSV. Keep the original tab with its summaries intact. In Text My Wedding, open your event’s Guest list, select Import from spreadsheet, and upload the file. Map the name, phone, email, and address columns and review the preview. You can import other columns as custom properties; an RSVP value stored that way is not an app RSVP submission. See the guest import guide for supported fields and phone formats.
Imports are a one-time copy, with no automatic spreadsheet sync. The separate Text My Wedding app can send messages and collect RSVPs; the free spreadsheet works on its own.
